November Innovation Pulse: Product Updates Roundup

This edition features three major Vincere Core updates that strengthen security and streamline invoicing workflows, plus a suite of Intelligence enhancements that make your reporting more precise and actionable.

1. Vincere Core upgrades to protect your data and streamline daily work 

Our core platform just got even more powerful with updates that protect your data and simplify complex workflows. 

1.1 Field-level security for sensitive candidate data  

You can now protect sensitive candidate information with field-level security controls, ensuring only authorized team members can view or edit confidential data. Mark custom fields and UK onboarding fields as "secured" in your Field Configuration settings, and set granular user permissions to control exactly who can view or edit this information. 

 

How this helps: 

  • Strengthen GDPR compliance by restricting access to National Insurance numbers, banking details, DBS checks, and passport information 
  • Role-based security ensures finance teams can process payments, compliance officers can manage background checks, and recruiters can work effectively with appropriate access levels
  • Zero workflow disruption while securing data. Existing SmartViews, searches, and processes continue uninterrupted 

1.2 Invoice Scheduling now available for closed retained jobs 

You can now manage invoicing after job closure without the hassle of reopening. The Invoice Schedule button is now enabled for closed retained jobs. Edit compensation tranches, add new invoices, or schedule final payments directly from the Compensation & Fee section. There’s no need to reopen the job.

  • Streamlined billing for retained search where invoicing often happens after placement
  • Greater flexibility to manage all client payments directly from closed jobs
  • Reduced complexity, especially when jobs cannot be reopened due to compliance or workflow rules

1.3 Enhanced Email Template 14.5 with Additional Wildcards 

Create more professional, personalised invoice communications automatically. Email template 14.5 now supports 10 additional wildcards, bringing it to feature parity with template 2.21 for more personalised invoice communications. The template now includes wildcards for account name, candidate details, job information, compensation details, placement fees, margins, and company information. When sending invoices, wildcards automatically populate with the relevant information, with empty fields displaying appropriately based on your system configuration.

2. Intelligence updates: Sharper reporting, better compliance

 This month brings 7 Intelligence enhancements focused on compliance reporting, data accuracy, and operational visibility.  

 

2.1 Temps & contractors active drilldown enhancement 

New sortable fields: Job Site Location and Site Manager 

Organise workers across multiple sites more efficiently with two new sortable columns. Click either header to sort alphabetically (A–Z or Z–A), making it easy to batch placements by location or manager. 

 

How this helps: 

  • Streamlined multi-site management when overseeing workers across various locations
  • Efficient communication planning by quickly identify all workers reporting to a specific site manager
  • Better operational visibility without manual filtering or switching between system views 

 

 

2.2 Three critical intermediaries report improvements 

Quarterly HMRC submissions are now more accurate and easier to complete with three key enhancements: 

Invoice Date-Based Period Inclusion 

Workers now appear in reporting periods based on invoice dates, not placement end dates, ensuring accurate reflection of actual financial activity. 

 

How this helps: 

  •  Improved HMRC compliance by aligning reporting with actual payment activity
  • Eliminate compliance gaps caused by timing differences between placement endings and invoice issuance
  • Submission-ready exports that meet regulatory requirements immediately with no post-processing needed 

Automatic exclusion of zero-amount records 

Candidates with zero amounts paid are automatically filtered out during report generation. No more manual data cleaning. 

 

How this helps: 

  • Save time by eliminating manual data cleaning steps before quarterly submissions. 
  • Improve submission accuracy by ensuring only valid, paid-worker records are included. 
  • Reduce compliance risk from manual oversight or incorrect data submissions. 

 

Automatic end date clearing for extended placements 

When a placement extends beyond the tax period, the "End date of engagement" field automatically displays as blank, meeting HMRC requirements without manual intervention.

  • Automatic HMRC compliance without manual intervention or post-processing. 
  • Reduced risk of compliance gaps caused by manual errors or oversight. 

 

2.2 Enhanced candidate fields in Goals & User Engagement Drill-down Logs 

Critical contact information is now available directly in the Drill-Down Logs for Goals and User Engagement dashboards. 

What’s new:

  • Job Title
  • Last Activity Date
  • Phone Number
  • Email Address 

 

Integrated access via the User Engagement Dashboard reduces system navigation, and all fields are included in exports for offline analysis. 

 

How this helps: 

  • Conduct timely follow-up without switching systems, identify candidates with recent activity, and reach out directly from dashboard data. 
  • Prioritise efficiently using candidate status to focus on those requiring immediate attention. 
  • Streamline batch workflows by integrating exported candidate data directly into communication platforms or CRM systems. 

 

2.3 Enhanced contact fields in Goals & User Engagement Drill-Down Logs 

Critical contact information has been added to Drill-Down Logs – Contacts sections across both dashboards. 

Drill-down logs now include: 

  • Job title
  • Last activity date
  • Phone number
  • Email address 

All fields are included in exports for efficient bulk workflows.

  • Enables scale-based outreach with all essential contact information in one place
  • Improves engagement targeting by identifying contacts needing re-engagement
  • Saves time by eliminating manual lookups and profile switching 

 

2.4 Refined Job Fields in Goals & User Engagement Drill-Down Logs 

The Drill-Down Log – Jobs sections have been refined to highlight the fields most critical for follow-up workflows. 

 

How this helps: 

  • Quick job assessment to identify active opportunities and those requiring follow-up or closure. 
  • Eliminate ambiguity about which stakeholder to contact regarding each job with no manual research needed. 
  • Prioritise effectively using job status and activity metrics to focus on high-value opportunities.
